The Priority Order Policy for Using the Parish Facilities
On May 2, 2013, St. Hugo of the Hills leadership team established a Priority Order Policy for scheduling the use of parish rooms and space for meetings and events. In May 2022, Fr. Mark Brauer reaffirmed the Priority Order Policy. The procedure for requesting the use of the St. Hugo facilities is as follows.
Step 1 - Facility Request Form - Complete and submit before August 1st each year. Forms submitted after August 1st will be the last to be scheduled. Forms can be found here or paper copies are available in the parish office. No calendar event will be scheduled into the parish calendar without first submitting a Facility Request Form, this will prevent conflicts with existing scheduled dates. Even if no set up is required, you need to complete a separate Facility Request Form for each date/event.
Step 2 - Priority Order (refer to the list below): Meetings and events to be scheduled in priority order, which means certain meetings and events will take priority and will be scheduled first. For example, events for sacraments, parish or school, staff programs, or the archdiocese are scheduled first. Then the calendar will open for parish groups with no staff leadership or outside groups.
Step 3 - Notification: The parish office will notify the person who submitted the Facility Request Form if their request is approved.

St. Hugo Priority Order for Using the Parish Facilities
(Established May 2013)
1. Liturgical Celebrations and Sacramental Preparation: Mass, Sacraments, OCIA, funerals, etc.
2. Parish Meetings/Events: Finance Council, Parish Staff Committees, Parish Mission, etc.
3. Staff Programs of Formation and Ministry: Liturgical Formation, Religious Education, School, Music/Choirs, Athletics, Adult Faith Formation, Protecting God’s Children, Bible Study, Catechist Formation, etc.
4. Archdiocese Meetings at St. Hugo: Family of Parishes, etc.
5. Other Parish groups with no Staff Leadership: Altar Guild, Ladies of Charity, Scouts, St. Vincent de Paul, etc.
6. Outside the Parish groups: High Schools, police department, High School Retreats, etc.
7. Facility Request Forms received after August 1st will be the last to be scheduled. We will accommodate those requests based upon availability and priority.
